About email handling
Our email account
We use a Gmail address, VCVmanager@gmail.com to receive email. Its features include:
- A signature line is automatically inserted for outgoing email.
- A list of contacts - the main VCV members.
- An "admins" mail group, which contains email addresses for the website administrators only.
- A list of members' email addresses, stored in a Google Document that belongs to VCVmanager@gmail.com
- Coloured labels that mark various type of incoming email, so you can quickly locate or display those emails later. For example: Invoices, and Enquiries.
- The Inactive Account Manager, which alerts the main VCV members if no-one has read any incoming email for three months.
About email forwarding
The website provider, IONOS provides email forwarding, which we use in the following ways:
- *@vcv.org.uk catches all unknown or mistyped email address (like inof@vcv.org.uk), and sends them all to VCVmanager@gmail.com. See https://www.ionos.co.uk/help/email/general-topics/advantages-of-a-catch-all-email-address/
- info@vcv.org.uk accepts any email sent to this old email address, then forwards it onto VCVmanager@gmail.com
- Simple, memorable email addresses can also hide your personal email address. For example: john@vcv.org.uk can redirect email to john-smith@hotmail.com, which is useful for creating a disposable email address (or "burner"). Be aware that if you reply (to this redirected email), the recipient will see your real address. (Alternatively, consider using yopmail.com with an email-alias.)
- As a further example, john.smith@vcv.org.uk can provide a professional-looking address, and can redirect email to your personal email address, such as johnnyboy77@hotmail.com. Be aware that if you reply (to this redirected email), the recipient will see your real address.
- akeley@vcv.org.uk sends map information about the private site, Akeley Wood to the sender via text. You can use this format for any site by preparing the information within the auto-responder entry. (Tip: Streetmap provides very full mapping info.) The VCVmanager can see whose email address requested the map information.
Setting up an email forwarding address (Two methods are available)
Method 1:
- Login, then click the blue
V button at the middle of the screen top to expose the IONOS MENU line. Click MENU.
- Click on the envelope icon (Email ..., then find Manage email addresses). (Ignore any "No email address created yet" message. We do not use the free business email account supplied by IONOS.)
- To create many more email forwardings, click on Create at Email forward.
Method 2:
- At the web browser, go to https://my.ionos.co.uk/email-overview
- Login.
- To create many more email forwardings, click on Create at Email forward.
